On-line platform for maintenance requestsMaintenance requests platform is based on on-line tools for SAP Business One. The platform facilitates processing of over 400 Lessees and improves work of 12 real estate administrators and external maintenance, cleaning, security, elevator maintenance and fire-fighting companies. The process of maintenance request and failure notification handling and monitoring begins with Lessee’s logging on to a dedicated website. Entered data regarding maintenance is transferred to an appropriate maintenance, cleaning etc. company. Any file can be attached to a request, therefore it is possible to send pictures. However, platform functionality does not only involve transferring requests between Lessees and external service companies. On the basis of entered information, the system manages request processing. Depending on the building which the request concerns, suitable maintenance companies are assigned. It is worth emphasizing that an administrator and brokers are assigned to each building. Having received the request, maintenance companies specify request fulfillment date. Owing to this, the platform can send notifications about past due dates to interested parties. When the request is closed, the responsible company mark the request as fulfilled. The processing of high priority requests has also been foreseen. Such requests can only be closed by platform users with the highest privileges such as an administrator or Cushman & Wakefield department managers. Apart from safeguarding the timeliness of request fulfillment, the platform also helps to perform quality assessment. Each party concerned by a request can comment it and thus evaluate the works. Additionally, a maintenance request report is available for a building administrator and a Cushman & Wakefield department manager. The report can be generated at any time on the basis of current data or viewed via a web browser. All requests visible in the report can be viewed according to location, request status, type of failure etc. For convenience, the report can be exported to Excel spreadsheet. Managing technical maintenance scheduleThe platform enables to record detailed information on technical maintenance which can be scheduled by administrators.
